Terms and Conditions

General

  • The following Terms and Conditions apply to all activities and services offered by The Art Room.

  • References to ‘our’, ‘us’ or ‘we’ will refer to The Art Room. All references to ‘you’, ‘the parent’ or ‘the customer’ shall refer to the person agreeing to purchase services from The Art Room.

  • We may update these terms and conditions from time to time for legal or regulatory reasons.  We will give you reasonable notice in advance of implementing such changes by email where we hold a valid email address.

  • These are the Terms and Conditions on which we, The Art Room, supply our weekly children’s art classes (‘Sessions’).

  • By making a booking or payment at The Art Room, all parents and customers acknowledge that you have read, understood and agree to comply with these terms and conditions. 

 

Booking and Payment

  • Our Sessions are offered during the academic term.  The number of Sessions per term may vary depending on the academic calendar.

  • Bookings are made on a termly basis and payment is required in full prior to the start of the first session in a new term.

  • Bookings are made via our website at www.the-art-room.org or from a link sent out in an email from The Art Room.  

  • A booking will only be confirmed and secured once a successful payment has been made.

  • Payment is made by bank transfer or cheque.

  • On receipt of your payment an email will be sent to you confirming your booking. The email will contain details of your booking, our payment and a copy of these Terms and Conditions.

  • In the event that classes are fully booked, customers will have the option to be placed on a waiting list.

  • By requesting a booking for a child, the person making the booking warrants that they are the parent or guardian and that they have the legal right to make such a booking for our Sessions.

  • On booking, The Art Room will request a current email address, an emergency contact phone number and information on any allergies, medical conditions and special education needs of the child attending Sessions.

  • It is the responsibility of the person making the booking to ensure that the booking details are completed accurately with all the requested and relevant information.

  • It is the duty of the parent or customer to keep The Art Room informed of any changes to personal information.

 

Booking Changes, Cancellations and Refunds

  • For sessions booked at a distance (any method other than face to face at our premises) you have a legal right to change your mind and receive a refund; you have 14 days after the day that you page to change your mind.

  • Cancellation must be made in writing (email permitted) more than 14 days before the start of the first class for a full refund to be given, less a £5 (+vat) administration fee.

  • Cancellation received in writing within 14 days before the start of the first class or during the course of the term, a refund will be given less the cost of half a term’s fees or the cost of the sessions attended to the date of cancellation, which ever is greater. An administration charge of £5 (+vat) will apply.

  • No refunds for missed sessions will be issued.

  • We reserve the right to make changes to any or all of our Sessions. If for any reason an activity has to be cancelled by The Art Room a full refund will be offered for the remainder of the activity.

  • If a session is prevented because of an event outside of our control, we will contact you as soon as possible to let you know.

  • In extreme weather conditions we reserve the right to cancel Sessions at short notice to ensure the safety of all involved. An alternative make-up session will be offered at a later date to compensate. No refunds will be given.

  • If Sessions are cancelled due to unscheduled venue closures, alternative make-up sessions will be offered. No refund will be given.

 

Class Schedule and Attendance

  • A single taster session is available on request at a cost of £15. If you wish to make a subsequent booking for a term of sessions, the fee payable will be pro-rata the remaining sessions of the term after the taster session.

  • It is the responsibility of the parent to ensure their child arrives and is collected from The Art Room on time.  Late arrivals may disrupt the running of the class and affect your child’s experience.

  • The Art Room has the right to charge an additional fee of £5 per child if you collect your children later than the scheduled time.

  • The Art Room must be notified by email at hello@the-art-room.org in advance of Sessions if the parent makes arrangements for their child to be collected from The Art Room by someone else.

  • All children must be signed out of The Art Room on collection.

  • It is the parent’s responsibility to inform The Art Room at the time of booking of any pre-existing medical, physical or behavioural conditions or medical requirements.

  • The Art Room staff can only administer medication to a child that has been prescribed to them by a health professional and has been discussed in advance with the parent.

  • Basic First Aid will be administered to children in the event of an accident while in The Art Room’s care. The emergency services will be called in the event of a serious accident and parents will be notified immediately.  All accidents, however minor, will be noted in the register and reported to the child’s parent on collection.

  • If your child is unwell, please keep them at home. Children exhibiting symptoms of illness during class will be sent home for the safety of others.

Behaviour

  • Children are expected to behave respectfully towards The Art Room staff and volunteers and their classmates.

  • The Art Room will share its class rules with children and ask that parents ensure that their child understands and follows these rules.

  • Disruptive behaviour by a child or an accompanying adult, which we believe affects the running of a session or poses a threat to the safety and wellbeing of themselves or others in The Art Room, may result in removal from the class/es.

 

Materials, Supplies and Personal property

  • All necessary art supplies are provided by The Art Room unless specified otherwise.

  • The Art Room provides children and accompanying adults with aprons to wear during Sessions, however, we cannot accept responsibility for any damage to yours or your child’s clothing.

  • The Art Room will not be liable for any personal items brought to Sessions by you or your children.  The Art Room will not be responsible for any property left at the location of the Sessions and may dispose of any such property if not claimed and collected by you within a month of the end of the activity.

 

Photography and Media

  • The Art Room may take photos and videos during Sessions for promotional purposes and post these on The Art Room’s social media pages (Facebook and Instagram), on The Art Room website or print media such as flyers and posters. By enrolling your child, you consent to their image or images of their work being used in such media.

  • If you do not wish for your or your child's image or images of their work to be used in this way, please inform The Art Room in writing by indicating this on our booking form.  Alternatively, you can email us at hello@the-art-room.org.

 

Insurance

  • We are insured for Public Liability up to £5 million

Data Protection

  • We are registered with the Information Commissioner’s Office and will treat all your and your child’s personal information as confidential.

  • We will use the personal information you provide to us only for registration, to deliver the Sessions and to process payment for the Sessions. We will not pass your personal information to third parties unless you have consented to it or if required by law.

  • If you have opted to receive updates and newsletters from The Art Room, we may contact you to promote our services and products.

Safeguarding

  • The Art Room staff are DBS registered.

  • Student volunteers are always supervised by one of our staff.

Concerns or complaints

Amendments

  • The Art Room reserves the right to amend these terms and conditions at any time. Any changes will be communicated to parents via email.
